How do I use Cloud Contracts 365 with a PSA or Quoting Tool?

Overview

This article explains how to generate a contract in Cloud Contracts 365, copy the unique contract URL, and insert it into your PSA or quoting tool (for example, inside a client proposal). This ensures the client can review the correct agreement and be bound by it when they sign the proposal.

When to use this method

Use these steps when your PSA/quoting tool supports proposal text and hyperlinks, and you want the contract to be accepted as part of the overall proposal/contract pack.

Prerequisites

  • Access to Cloud Contracts 365 with permission to build/generate contracts
  • Access to your PSA or quoting tool, where you create client proposals
  • (Optional) If using HaloPSA: the integration set-up (see link below)

Step 1: Generate the contract URL in Cloud Contracts 365

  1. Click "Build Contract".
  2. Select the following:
    1. Jurisdiction
    2. Contract category
    3. Contract type
  3. Complete the questionnaire.
  4. At the Signatures question, select "Online".
    1. This ensures Cloud Contracts 365 creates an online signing/review experience that can be accessed via a link.
  5. Generate the contract.
  6. Copy the URL created.
    • This is the link you will provide to the client within your proposal.

Step 2: Add the contract link to your PSA / quoting proposal

  1. Open the proposal you are preparing for the client in your PSA/quoting tool.
  2. Paste the Cloud Contracts 365 contract URL into the proposal (as a clickable link).
    • Recommended: place it near the signature section, acceptance section, or terms/contractual documents section.
  3. Include the following wording in the proposal (exact text):

 

“By signing this Proposal, the Client confirms acceptance of the described service above and agrees to be bound by the relevant agreement linked which form part of the contract between the Client and the Service Provider.”

4. Save and send the proposal to the client using your normal PSA/quoting process.

Notes / Best practices

  • Ensure the pasted URL is accessible and appears as a clickable link in the final client-facing proposal.
  • Use consistent placement for the link (e.g., “Agreement Link” section), so clients know where to find the terms they are accepting.
  • If your PSA supports variables/merge fields, consider standardising the wording block as a reusable template snippet.
